The problem

Names, numbers, dates, units, versions, product labels, citations, and defined terms are not ordinary vocabulary. A synonym may sound natural but refer to a different entity. A rounded number may be easier to read but unsuitable for a threshold or result. A missing unit can make a correct value unusable.

The safest process separates critical details from the prose before any stylistic change is made.

Why it weakens the text

Information-integrity errors can change an instruction, invalidate a comparison, or send a reader to the wrong system. They are easy to miss because the revised sentence may remain grammatical and plausible. Fluency is therefore not evidence of fidelity.

Before

Upgrade Acme Data Bridge 4.8.1 to version 4.9.0 before 17:00 UTC on 12 September. The migration requires at least 18 GB of free disk space, and clients using the LegacySync connector must remain on 4.8.1 until notice INC-2047 is closed.

The passage contains two versions, one deadline with timezone, a date, a storage threshold, a named connector, and an incident identifier.

After

Before 17:00 UTC on 12 September, upgrade Acme Data Bridge from 4.8.1 to 4.9.0. Ensure that at least 18 GB of disk space is free. Clients that use the LegacySync connector must stay on 4.8.1 until INC-2047 is closed.

The revision improves sequence and readability, but every operational detail remains exact.

What changed

The deadline moves to the opening so readers see it before the action. The disk requirement becomes a direct instruction. “Remain” becomes “stay,” a plain-language change that does not alter obligation because “must” is preserved. “Notice INC-2047” becomes “INC-2047” only because the identifier itself is sufficient in this context; if “notice” is a formal document type, that noun should remain.

The product name, capitalization, connector name, numbers, and units are unchanged.

What stayed intact

The upgrade starts at 4.8.1 and ends at 4.9.0. The deadline is still 17:00 UTC on 12 September. The requirement is at least 18 GB, not approximately 18 GB. LegacySync clients remain an exception, and the exception ends only when INC-2047 is closed. No year, local timezone, or responsible operator has been invented.

A quick checklist

  • Copy all names, identifiers, numbers, dates, units, and versions into a detail ledger.
  • Treat capitalization and punctuation as meaningful for identifiers.
  • Keep qualifiers such as at least, no more than, before, and after.
  • Avoid rounding unless the source explicitly permits it.
  • Compare the final text with the ledger before publication.

Try it on your text

Extract critical details before you revise, then temporarily lock them. Rewrite only the surrounding language. Afterward, compare each item character by character and confirm that it still plays the same grammatical role. A correct number attached to the wrong condition is still an integrity failure, so verify the relationship as well as the value.
